
What the group solves are the problems it creates
The message group offers one advantage: it is free and fast to install. In return, the institution gives up four things: confidentiality, auditing, archives and time limits.
All parents in the group see each other's phone numbers. The teacher's personal number becomes available at all hours. The announcement gets lost in the chatter; It is not known who saw it. A deleted message leaves no trace.
The difference of the corporate channel
In the parent information application, the parent is only associated with the institution and his/her child's registration. Other parents do not see their numbers and messages.
Announcements are published by class, age group or institution-wide and appear in a separate place in the feed. The institution determines whether messaging is open or not; correspondence appears on the control screen with record and revision history.

Child photo and parent contact information are personal data. It is the responsibility of the institution where this data is kept, who has access to it, and how it will be deleted upon request. There are no clear answers to these questions in a general-purpose messaging group.
How to make the transition?
Instead of closing the group in one day, it is useful to separate the channels: the announcement and daily notification are moved to the application, the group is first made read-only, then closed. Explaining clearly what the parent will see in the application within the first week will speed up the transition.
The group disseminates information quickly but keeps no records. The corporate channel delivers the information to its destination and leaves a record of it.
